Job Description

Business Support Administrator / Reception

Reporting to: School Business Manager 

Salary Grade: Apprentice 

Purpose of Role: 

  1. To provide administrative support in order to effectively support the teaching across the EOTAS Organisation. 
  2. To provide an efficient and welcoming Reception service. 
  3. To administratively support the Attendance Strategy.

    Main Duties:

    Reception:

    To be the 1st point of contact for all visitors and telephony enquires.


    Provide a professional reception service for all visitors ensuring that they are dealt with in a calm, friendly and efficient manner, oversee the ID checks issuing of passes, keys and safety induction. 


    Provide an efficient telephone answering services, ensuring that all callers are dealt with in a friendly and professional manner.


    Ensure the reception area is a welcoming environment, presented in a professionally, clean and with current and engaging information available at all times 
    Undertake duties as directed and specified in the fire management plan. 

    General Administrative Support: 

    Oversee the booking system for the bookable meeting rooms, ensure the meeting rooms are fully equipped for the needs of the meetings, are kept and presented to the highest standards. 


    Provide administrative support to the teaching staff within the centre, producing work of a high standard in a timely manner. Managing the expectations of the staff with clear communication strategies. 


    Input student data into the centres management information system accurately, with an eye for detail and produce meaningful reports for the audience requirements as requested. 


    Process resource and receive orders for the centre. Oversee the resources room to ensure it is kept orderly state with sufficient resource stock to support the teaching. 


    Any other duties directed by the Business Support Officer in order to provide an efficient, seamless, multi skilled service to EOTAS

    Support the aims of the school to promote a positive learning environment. 


    Treat all pupils fairly, consistently and without prejudice. 
    Set a good example to pupils in terms of appropriate dress, standards of punctuality, attendance and conduct. 


    Promote the aims of the school by attending and participating in appropriate events, e.g., Open Evenings, Options Evenings etc. 


    Support the ethos of the school by upholding the behaviour code, uniform regulations etc. 


    Take responsibility for own professional development and participate in staff training when provided. 


    Reflect on own practice as well as the practices of the school as part of school self-evaluation. 


    Be aware of and adhere to the various policies of the school. 
    Participate in the management of school by attending various team and staff meetings. 


    Ensure that all deadlines are met as published in the school calendar. 


    Be proactive and take responsibility for matters relating to CP, safeguarding and health and safety.
